Xchart Onboarding Checklist For CareStack

When utilizing an integration with another EMR software it can be difficult to know what to do next in Xchart. Therefore, we have created a step by step guide to walk you through the process.

Xchart Onboarding Checklist

1. Confirm EMR Integration

  • Contact your CareStack representative and notify them that you would like to enable the Xchart integration.

  • If applicable, confirm any required approvals, add-on fees, or activation steps on their end.

2. Inventory Vital Signs Monitors

  • Compile a complete list of all vital signs monitors used across your organization.

  • Include both the brand and model for each monitor, as this determines compatibility and setup.

  • If you are working across multiple locations please break this list down per location.

3. Email Xchart Support

  • Email [email protected] to initiate the onboarding process.

  • Include the following information in your email:

    • Organization name

    • EMR / patient charting software you will be integrating Xchart with (ie CareStack)

    • Anticipated go-live date (if known)

    • Full list of vital signs monitors (brand and model) that will be used for automatic vitals capture during cases per location

4. Watch Admin Training Video

  • Watch the Xchart Admin Training Video prior to implementation.

  • This training is critical for:

    • Properly setting up Xchart on the back end

    • Understanding system settings and permissions

    • Confidently guiding your team through the implementation process

5. Schedule Team Training

  • Schedule a training session for your clinical and administrative team.

  • Included here is a full tutorial of how to go through an anesthesia case, from scheduling and launching Xchart within CareStack, to signing the final anesthesia record within Xchart. This can also be helpful for onboarding training. CareStack Comprehensive Training Video

6. Schedule your First Patient in CareStack and Launch Xchart

7. Build Clinical Presets

  • Begin creating organization presets in Xchart (as discussed in the admin video)

  • These presets can be applied to cases to streamline workflows and ensure consistency.

8. Extra Support

  • After you’ve completed your first live case using Xchart, we’d love to connect with you. This is a great opportunity to review any questions that came up and share tips to help make your workflow even easier and smoother.
